How to Invite Team Members
Step-by-step guide to adding new users to your Aryna account
Adding team members to your Aryna account is quick and easy. Follow these steps to invite colleagues to collaborate on compliance management.
Prerequisites
- You must be an Admin to invite new team members
- You need the invitee's email address and full name
Step-by-Step Instructions
1. Navigate to the Team Page
- Click Team in the left sidebar
- You'll see a list of all current team members
2. Click "Add Team Member"
- Look for the "Add Team Member" button in the top-right corner
- Click the button to open the invitation form
3. Fill in the Invitation Form
Enter the following information:
Full Name (required)
- Enter the team member's full name (e.g., "John Smith")
Email Address (required)
- Enter their work email address
- They'll receive an invitation email at this address
Role (required)
- Choose either Admin or Member
- See Understanding User Roles for details
4. Send the Invitation
- Review the information you entered
- Click "Send Invitation"
- The invitation will be sent immediately
What Happens Next?
The Invitee's Experience
- Email Received: They'll get an email with subject "You've been invited to join [Your Company]"
- Click Link: The email contains a secure invitation link
- Sign Up: They'll be directed to create their account
- Auto-Added: After signup, they're automatically added to your team
The Invitation in Your Dashboard
You'll see the pending invitation in the "Pending Invitations" section:
- Status: Shows "Pending" until they accept
- Expires: Invitations expire after 7 days
- Actions: You can resend or cancel the invitation
Managing Pending Invitations
View Pending Invitations
On the Team page, scroll down to the "Pending Invitations" section to see:
- Invitee name and email
- Role assigned
- Invitation sent date
- Days remaining until expiration
Resend an Invitation
If the invitee didn't receive the email:
- Find the invitation in the "Pending Invitations" section
- Click the "Resend" button
- A new email will be sent immediately
Cancel an Invitation
To cancel a pending invitation:
- Find the invitation in the "Pending Invitations" section
- Click the "Cancel" button
- Confirm cancellation
- The invitation link will no longer work
Invitation Expiration
- Invitations expire after 7 days
- Expired invitations are automatically removed
- You'll need to send a new invitation if it expires
Troubleshooting
"Invitation email not received"
Common solutions:
- Check spam/junk folder
- Verify the email address is correct
- Click "Resend" to send a new invitation email
- Contact support if the issue persists
"User already exists"
If you see this error, the email address is already associated with another Aryna account. Options:
- Verify you have the correct email address
- Ask them to accept from their existing account
- Contact support for assistance with account merging
"Not authorized to invite users"
Only Admins can invite team members. If you're a Member and need to invite someone:
- Ask an Admin to send the invitation
- Or ask an Admin to upgrade you to Admin role
Best Practices
✅ Do:
- Use work email addresses
- Send invitations to one person at a time
- Follow up with invitees to ensure they received the email
- Check the "Pending Invitations" section regularly
❌ Don't:
- Use personal email addresses
- Share invitation links (they're single-use)
- Let invitations expire without following up
